Certificate Design and Printing Checklist

Design certificates that look clean and print correctly.

What every certificate must contain

  • Organisation name and logo (school/college/company).
  • Title: Certificate of Merit / Participation / Appreciation / Completion.
  • Recipient’s name (largest text after the title), class/designation.
  • What it is for: event, position, course, date and place.
  • Signatures with names and designations; seal if used.
  • A unique certificate number (e.g. APS/2026/SPT/045) if it may be verified later.

Design checklist

ItemRecommendation
SizeA4 landscape (297 × 210 mm) is standard
MarginsKeep text and signatures at least 10–12 mm inside the edge
FontsMax 2 fonts: one decorative for the name, one clean for text. Hindi: Noto Serif/Sans Devanagari, Mangal, Kokila
Colours2–3 colours from the logo; light borders print better than full dark backgrounds
Images/logoAt least 300 dpi at print size; PNG logo with transparent background
BordersSimple frame; avoid low-resolution borders copied from the internet

Make it in Canva (see Canva basics), PowerPoint or Word. For many names, use Mail Merge or Canva’s Bulk Create.

Proof-reading (most important step)

  1. Check every name against the official list (spelling, Hindi matras, initials).
  2. Check dates, event name, positions (1st/2nd/3rd) and class.
  3. Print one test copy on plain paper and read it aloud.
  4. Get the in-charge to approve the test print before printing all.

Printing settings

SettingChoose
FileExport PDF (Print quality / PDF Print); embed fonts
Paper170–300 gsm card or certificate paper; check your printer’s maximum gsm
Printer settingsPaper type: Cardstock/Heavy; Quality: High; Scale: 100% / Actual size
BorderlessMost office printers cannot print to the edge – keep a white margin or use a print shop
QuantityOrder 5–10% extra for mistakes
Colours look darker on paper than on screen. Print one colour test and adjust brightness before printing a full batch.

Digital certificates

For online events, send PDF certificates by email or Google Drive. Add the certificate number and a verification line (“Verify at school office/email”) to prevent misuse. Never edit or reuse someone else’s certificate – that is forgery.

  • संस्था का नाम और logo (school/college/company)।
  • Title: Certificate of Merit / Participation / Appreciation / Completion।

Design checklist

Hindi: Noto Serif/Sans Devanagari, Mangal, Kokila
PNG logo

Digital certificates

Frequently Asked Questions
