3-2-1 Backup Rule for Important Files
Protect important documents, photos and school files from accidental loss.
The 3-2-1 rule in one line
| Copy | Example for a teacher/office | Protects against |
|---|---|---|
| 1. Original | Laptop folder D:\School-Work | – |
| 2. Local backup | External hard disk/SSD, updated weekly | Laptop crash, accidental delete |
| 3. Off-site backup | Google Drive/OneDrive sync, or a disk kept at another place | Theft, fire, flood, ransomware on the laptop |
What to back up
- Documents: certificates, marksheets, ID scans, tax papers, project files.
- School/office data: result sheets, fee registers, Tally/ERP backups, website database exports.
- Photos and videos of family events.
- Phone: contacts (Google/iCloud), WhatsApp chats (Settings → Chats → Chat backup).
- Passwords: your password manager’s recovery codes, printed and stored safely.
Easy setup on Windows
- Keep all work inside one main folder (e.g. Documents\Work) – one folder is easy to back up.
- Cloud: install Google Drive for desktop or use OneDrive and sync that folder (off-site copy).
- External disk: Control Panel → File History (or Settings → Accounts → Windows backup) → select the drive → turn on; it saves versions automatically.
- Simple alternative: copy the folder to the external disk every Friday and name it with the date (Backup_2026-10-24).
- Unplug the external disk after backup – a connected disk can be encrypted by ransomware too.
Sync is not the same as backup
Google Drive/OneDrive sync copies changes instantly – including deletions and ransomware-encrypted files. They keep deleted files in Bin for about 30 days and older versions for a limited time, which helps, but keep at least one offline copy that changes only when you decide.
Test your backup
- Once a month, open 3 random files from the backup disk – do they open?
- Check the date of the newest file in the backup.
- Check that the cloud storage is not full (see free up Google storage).
- Write down where backups are and how to restore them, so someone else can do it if you are away.
Common mistakes
- Only one copy “in the phone”.
- Backup disk kept next to the laptop in the same bag.
- Pen drives as the only backup – they fail and get lost easily.
- Never checking whether the backup actually works.
- Saving work only on the desktop of a school/office computer that gets reset.
| Copy | Teacher/office
|---|---|---|
Laptop folder D:\School-Work | – |
| 2. Local backup | External hard disk/SSD, हर हफ़्ते update | Laptop crash, ग़लती से delete |
- Documents: certificates, marksheets, ID scans, tax papers, project files।
- School/office data: result sheets, fee registers, Tally/ERP backups, website database exports।
- Phone: contacts (Google/iCloud), WhatsApp chats (Settings → Chats → Chat backup)।
- Cloud: Google Drive for desktop install
Frequently Asked Questions
What is the 3-2-1 backup rule?
Three copies of your data, on two different types of storage (for example laptop and external disk), with one copy off-site (cloud or another location).
Is Google Drive enough as a backup?
It is a good off-site copy, but sync also copies deletions and ransomware damage. Add an offline external-disk copy for important data.
How often should I back up?
As often as you can afford to lose work: daily cloud sync plus a weekly external-disk backup suits most students, teachers and small offices.
