Create Online Class Attendance Sheet

Track student attendance for online or offline classes using Google Sheets.

Three ways to take attendance

MethodBest forEffort
Google Sheets with checkboxesTeacher marks attendance class-wise every dayLow
Google Form filled by studentsOnline/hybrid classes, events, workshopsVery low for the teacher
Meeting report (Meet/Zoom)Live online classes on paid/education accountsLow, but needs the right plan

Method 1: Google Sheets register with totals

  1. Row 1: Roll | Name | 01-Nov | 02-Nov | … | Present | Total days | %.
  2. Select the date cells for all students → Insert → Checkbox. Tick = present.
  3. Present (in column AG for a 30-day month): =COUNTIF(C2:AF2, TRUE)
  4. Total days: =COUNTA($C$1:$AF$1) (counts the date headings you added).
  5. Percentage: =IFERROR(ROUND(AG2/AH2*100, 1), 0)
  6. Highlight below 75%: Format → Conditional formatting → Less than 75 → red fill.
Use one sheet tab per month and a summary tab that adds the months – or keep all days in one long sheet and use a pivot table.

Method 2: Google Form for self check-in

  1. Create a Form with: Roll number (Dropdown of valid numbers), Name (short answer), Class (dropdown).
  2. Settings → Responses: Collect email addresses: Verified and Limit to 1 response (students sign in with school accounts).
  3. Share the link or QR at the start of class and close responses after 10 minutes (Responses → Accepting responses off).
  4. Responses → Link to Sheets. The timestamp shows who came late.
  5. In the sheet, count each student’s entries with =COUNTIF(Responses!C:C, A2).
A form can be filled by a friend on behalf of an absent student. For exams or official records, combine it with a roll call or the meeting attendance report.

Method 3: Meeting attendance reports

  • Google Meet: with Google Workspace for Education (eligible editions) or business plans, turn on Attendance tracking in meeting settings; a report is emailed/saved to Drive after the class.
  • Zoom: Reports → Usage → Meeting → Participants (available on paid accounts) shows join/leave times.
  • Free accounts: take a screenshot of the participant list at the start and end of class.

Monthly report for parents/principal

  • Class average attendance: =AVERAGE(AI2:AI41).
  • Students below 75%: =COUNTIF(AI2:AI41, "<75") and use a filter to list them.
  • Share as PDF (File → Download → PDF) instead of giving edit access to the sheet.
  • Keep attendance data private – share individual records with parents, not the whole class list.

Attendance

Google Sheets register

  1. Row 1: Roll | Name | 01-Nov | 02-Nov | … | Present | Total days | %।
  3. Present (30 दिन के महीने में column AG): =COUNTIF(C2:AF2, TRUE)
  4. Total days: =COUNTA($C$1:$AF$1) (आपके जोड़े date headings गिनता है)।
  5. Percentage: =IFERROR(ROUND(AG2/AH2*100, 1), 0)
  6. 75% से कम highlight: Format → Conditional formatting → Less than 75 → लाल रंग।

Google Form

  1. Form बनाएँ: Roll number (valid numbers का Dropdown), Name (short answer), Class (dropdown)।
  2. Settings → Responses: Collect email addresses: Verified और Limit to 1 response (students school accounts से sign in करें)।
  4. Responses → Link to Sheets।

3: Meeting attendance reports

  • Google Meet: Google Workspace for Education

Parents/principal के लिए मासिक report
