How to Replace a File in Google Drive and Keep the Same Link (Manage Versions)
Replace or update a shared Google Drive file without changing its link: right-click → File information → Manage versions → Upload new version. Steps for computer and phone, plus fixes.
The short answer
This is the method teachers use for a syllabus PDF shared on a WhatsApp group, offices use for a price list, and websites use for a "Download form" button — you fix the file once, and nobody has to be sent a new link.
The one thing you must not do is delete the old file and upload the new one separately. That creates a brand-new file with a brand-new link, and the old link shows "File not found" or "Sorry, the file you have requested does not exist".
Method 1: Manage versions on a computer (recommended)
This works for any file you uploaded to Drive — PDF, Word (.docx), Excel (.xlsx), PowerPoint, images, ZIP files and so on. You need to be the owner or have Editor access.
- Open drive.google.com in Chrome or any browser and sign in with the account that owns (or can edit) the file.
- Find the file that is already shared. Tip: search its name in the Drive search bar.
- Right-click the file and choose File information → Manage versions. (In some layouts, select the file, click the three-dot More menu at the top right, then Manage versions.)
- In the window that opens, click Upload new version.
- Choose the updated file from your computer and wait for the upload to finish. The new version appears at the top of the list marked Current.
- Close the window and open the old share link in an incognito/private window. It should now show the updated file.
Doing it from a phone
The Google Drive app for Android and iPhone does not show Manage versions. Use the browser instead:
- Open Chrome on the phone and go to drive.google.com.
- Tap the three-dot menu of Chrome and tick Desktop site.
- Now follow the same steps as Method 1: long-press / right-click the file → Manage versions → Upload new version.
If the desktop layout is too small to use comfortably, do this one task from a computer — it takes less than a minute.
Method 2: Upload a file with exactly the same name
In recent versions of the Drive website, when you upload a file whose name exactly matches a file already in the same folder, Drive may ask how to handle it, with options such as Replace existing file or Keep all as separate files.
- Choosing Replace existing file adds your upload as a new version of the old file — the link stays the same (it is the same as Method 1).
- Choosing Keep both / Keep all as separate files creates a second file with a new link. The old link keeps showing the old file.
Because the prompt does not always appear (different name, different folder, or a different Drive layout), Method 1 is the reliable way.
Google Docs, Sheets and Slides: just edit them
If the shared file is a Google Doc, Sheet or Slides file (not an uploaded Word/Excel/PDF), there is nothing to replace. Open it and make your changes — everyone with the link sees the latest content automatically. Old states are kept in File → Version history.
If you have an updated Word or Excel file and want its content in an existing Google Doc or Sheet, copy the content in (or, in Sheets, use File → Import → Replace spreadsheet). Uploading the .docx/.xlsx as a separate file would create a new link.
Which method should you use?
| Your situation | Best method | Link stays the same? |
|---|---|---|
| Shared PDF / Word / Excel / image needs an update | Manage versions → Upload new version | Yes |
| Uploading a file with the same name into the same folder | Choose "Replace existing file" when asked | Yes |
| Shared file is a Google Doc / Sheet / Slides | Edit it directly | Yes |
| You deleted the old file and uploaded a new one | Restore the old file from Bin, then use Manage versions | Only after restoring |
| You want people to see both old and new files | Upload separately and share the folder link instead | Folder link stays; file links differ |
Tip for websites and notices: if you update files often, share a folder link (e.g. "Downloads") rather than individual file links. Files can come and go inside the folder while the folder link never changes. See Google Drive folder permissions to share a folder safely.
Getting an old version back
Uploaded the wrong file? Open Manage versions again. Every earlier version is listed with its upload date and who uploaded it. Click the three dots next to a version to Download it, Delete it, or turn on Keep forever.
To make an older version current again, download it and upload it as a new version. Google notes that an older version may be permanently removed after 30 days or once there are 100 newer versions, unless you mark it Keep forever.
If the link still shows the old file
- Cache: refresh the page, or test in an incognito/private window. Viewers who already have the tab open need to reload it.
- Downloaded copies: anyone who downloaded the PDF earlier still has the old copy on their phone. Ask them to open the link again.
- Wrong file updated: check that the link's file ID (the long code in the URL after /d/) matches the file you opened in Manage versions.
- Embedded previews on a website can take a few minutes to refresh.
Mistakes that break the link
- Deleting the old file first. The link dies immediately. If this happened, open Bin in Drive, restore the old file, then upload the new version through Manage versions.
- Uploading the new file separately and sending everyone a new link — this is exactly what the method above avoids.
- Making a copy (Make a copy) of the file and editing the copy. A copy always has its own new link.
- Moving the file into a folder with stricter sharing. The link survives, but people may lose access if the file's own sharing was inherited from the old folder.
- Changing "Anyone with the link" to "Restricted" while updating — then only named people can open it.
Practice once safely: upload a test PDF, share it with your own second account, then replace it with Manage versions and check that the same link shows the new content. After that you can do it confidently with important files. For naming updated files clearly (for example syllabus-class-10-v2.pdf), see a simple file naming system.
Phone
- अब तरीका 1 वाले steps ही करें: file पर long-press / right-click → Manage versions → Upload new version।
Keep all as separate files।
- Keep both / Keep all as separate files
|---|---|---|
| Share की गई PDF / Word / Excel / image update करनी है | Manage versions → Upload new version | हाँ |
- File की Make a copy बनाकर copy को edit करना।
Frequently Asked Questions
Can I replace a file in Google Drive and keep the same link?
Yes. Open drive.google.com on a computer, right-click the file, choose File information → Manage versions (or select the file and use More → Manage versions), then click Upload new version and pick the updated file. The file keeps its ID, so the old share link now opens the new version.
Why is Manage versions not showing in Google Drive?
Manage versions appears only for uploaded files such as PDF, Word, Excel, images and ZIP files, and only on the Drive website. Google Docs, Sheets and Slides do not have it because you simply edit them — their link never changes. You also need Editor access to the file. On a phone, open Drive in a browser with "Desktop site" enabled.
Does uploading a new version change the sharing permissions?
No. The file is the same object in Drive, so everyone who had Viewer, Commenter or Editor access keeps exactly the same access, and "Anyone with the link" settings stay as they were. The owner also stays the same even if someone else uploads the new version.
How long does Google Drive keep old versions of a file?
Google says an older version of an uploaded file may be permanently deleted after 30 days or once there are 100 newer versions. To keep a particular version for good, open Manage versions, click the three dots next to it and turn on Keep forever.
I uploaded the new version but people still see the old file. What should I do?
Usually it is the browser or app cache on their side. Ask them to refresh, or open the link in an incognito/private window to check. A downloaded copy on their device will of course stay old — they need to open the link again. If the page embeds the file, the preview can take a few minutes to update.
