Ch 12: Forms and Reports

Forms

Form: a database object with a user-friendly interface to enter and view data in an attractive, easy-to-read layout — the front end for data entry and modification.

A field control has two parts: a label (text describing the field) and a field value text box (linked to the actual table field). A form can be created in two ways.

Two ways to create a form: 1) Using a Wizard   2) Using Design View.

Creating a Form using the Wizard

Forms > Use Wizard to Create Form, then follow the steps:

StepWhat you do
1. Field selectionSelect the fields from the table(s).
2. Set up subformAdd a subform (optional).
3. Arrange controlsChoose the layout of the controls.
4. Data entry modeSet how data is entered.
5. Apply stylesChoose style and field borders.
6. Name & finishGive the form a name and click Finish.

Modifying a Form (Design View)

  • Background colour: right-click form > Page > Area tab.
  • Edit label: Ctrl+Click the label > Control Properties.
  • Move a control: Ctrl+Click and drag.
  • Tool-tip: Control Properties > Help Text — text shown on mouse hover.
  • Calendar for date: set Date Format = Standard (long) and DropDown = Yes.
  • Add title text: use the Label tool on the Form Controls toolbar.
Toolbars: the Form Controls toolbar adds/edits controls; the Form Navigation (Records) toolbar moves between records and adds/saves/deletes them. The Design Mode button toggles Design/Form view.

Reports

Report: presents retrieved data in an attractive, customised and formatted manner. It can be based on a table, a query, or both.

For multiple tables, create a query first, then base the report on it. Reports > Use Wizard to Create Report, then:

StepWhat you do
1. Field selectionChoose the fields to include.
2. LabellingSet friendly labels for fields.
3. GroupingGroup the records if needed.
4. Sort optionsChoose the sorting order.
5. LayoutChoose layout and page orientation.
6. Name & typeName the report, choose Static or Dynamic, Finish.
Static vs Dynamic: a Dynamic report (default) updates automatically when the base table/query changes; a Static report does not update automatically.

Enhance a report: right-click > Edit (Report Builder) to add titles/headings (Label tool) and Date/Time (Insert > Date and Time).

Summary

  • A form is the front end for entering/modifying data; a field control = label + value text box.
  • Forms & reports are created by Wizard or Design View.
  • Forms can have tool-tips (Help Text) and a calendar for date fields.
  • A report presents data from a table/query/both; it can be static or dynamic (dynamic updates automatically).

Q3. A field control on a form has two parts:

Forms

Forms > Use Wizard to Create Form, फिर steps:

Step
1. Field selectionTable(s) से fields चुनिए।
2. SubformSubform जोड़िए (optional)।
3. Controls arrangeControls का layout चुनिए।

(Design View)

  • Background colour: form पर right-click > Page > Area tab।
  • Label edit: Ctrl+Click label > Control Properties।
  • Control move: Ctrl+Click करके drag कीजिए।
  • Tool-tip: Control Properties > Help Text — hover पर दिखता text।
  • Date के लिए Calendar: Date Format = Standard (long), DropDown = Yes।

Reports

Reports > Use Wizard to Create Report, फिर:

Step
4. Sort optionsSorting order
5. LayoutLayout और page orientation चुनिए।

Date/Time (Insert > Date and Time) जोड़िए।

Frequently Asked Questions

What is the difference between a form and a report in LibreOffice Base?

A form is the user-friendly front end used to enter and modify data in a table, while a report presents the retrieved data in an attractive, formatted layout based on a table, a query, or both.

What are the two ways to create a form?

A form can be created using the Form Wizard (step by step) or using Design View, where you place and arrange the controls yourself.

What is the difference between a static and a dynamic report?

A dynamic report updates automatically whenever the underlying table or query changes, while a static report keeps its data fixed and does not update automatically.

What is a tool-tip in a form and how is it added?
