Communication Skills-II

Part A – Employability Skills, Unit 1. This unit builds on Class IX: methods of communication, the communication cycle, feedback, barriers, the 7 Cs, and basic writing skills (parts of a sentence, parts of speech, types of sentences).

What is communication?

Communication is the process of sharing information, ideas, thoughts and feelings between two or more people so that the receiver understands the message as the sender intended.

Methods of communication

MethodMeaningExamples
VerbalUsing words – spoken (oral) or writtenPhone call, class presentation, email, letter, SMS
Non-verbalWithout words – body languageFacial expressions, gestures, posture, eye contact, touch, personal space, tone
VisualUsing images and symbolsTraffic signs, charts, graphs, maps, posters, emojis
Non-verbal signals often carry more meaning than words. Good posture, a smile and eye contact show confidence; crossed arms or looking away can show disinterest.

Communication cycle and feedback

  1. Sender has an idea and encodes it into words, signs or pictures.
  2. The message travels through a channel (speech, phone, email, letter).
  3. The receiver gets the message and decodes (interprets) it.
  4. The receiver gives feedback – a reply that shows how the message was understood.

Feedback completes the cycle. Good feedback is specific (“your second slide had too much text”), timely, and polite. Feedback can be positive (praise for what went well) or negative/constructive (what to improve).

Barriers to effective communication

BarrierExampleHow to overcome
PhysicalNoise, poor network, long distance, closed doorMove to a quiet place, use a clear channel
Linguistic (language)Receiver does not know the language or technical wordsUse simple, common words; explain terms
Interpersonal / emotionalAnger, fear, nervousness, lack of trustStay calm, listen, build trust
OrganisationalToo many levels in a company, unclear rulesClear channels and simple procedures
CulturalDifferent customs, gestures and greetingsRespect differences; learn local customs

The 7 Cs of effective communication

CMeaning
ClearThe purpose and message are easy to understand
ConciseShort and to the point; no unnecessary words
ConcreteSpecific facts and figures, not vague statements
CorrectNo grammar, spelling or factual mistakes
CoherentIdeas are logical and connected
CompleteAll information the receiver needs is included
CourteousPolite, respectful and friendly
Trick: “3 C + 3 Co + Courteous” → Clear, Concise, Concrete; Correct, Coherent, Complete; Courteous.

Writing skills

A sentence is a group of words that expresses a complete thought. It has two parts: the subject (who or what the sentence is about) and the predicate (what the subject does or is). In “Riya | completed the project”, Riya is the subject and completed the project is the predicate; the project is the object.

Part of speechUseExample
NounName of a person, place, thing or ideaDelhi, laptop, honesty
PronounUsed in place of a nounhe, she, it, they
VerbAction or staterun, is, write
AdjectiveDescribes a nounfast computer, tall boy
AdverbDescribes a verb, adjective or adverbspeaks clearly, very fast
PrepositionShows relation/positionin, on, under, between
ConjunctionJoins words or sentencesand, but, because
InterjectionExpresses sudden feelingWow! Oh! Hurray!
Type of sentencePurposeExample
Declarative (statement)Gives information; ends with a full stopThe exam starts at 10 am.
Interrogative (question)Asks something; ends with ?Have you saved the file?
Imperative (command/request)Gives an order or requestPlease close the door.
ExclamatoryShows strong feeling; ends with !What a great result!

Active voice: the subject does the action – “The teacher checked the copies.” Passive voice: the action is done to the subject – “The copies were checked by the teacher.” Active voice is usually clearer and shorter.

Q4. Which of the 7 Cs means “short and to the point”?

Q5. “Please submit the file by Monday.” is which type of sentence?

Q6. In “She quickly finished the report”, the word “quickly” is a/an:

Short answer questions (2 marks)

Q1. What is the communication cycle? Name its elements.

It is the process by which a message travels from sender to receiver and back. Elements: sender, message, channel, receiver and feedback (with encoding and decoding).

Q2. Give two examples each of verbal and non-verbal communication.

Verbal: a phone call, an email. Non-verbal: a smile/facial expression, a hand gesture such as thumbs-up.

Q3. What are the qualities of good feedback?

Good feedback is specific, timely, polite, based on facts (not personal), and suggests how to improve.

Q4. Differentiate between subject and predicate with an example.

Subject is who/what the sentence is about; predicate tells what the subject does. “Aman | plays cricket” – Aman is the subject, “plays cricket” is the predicate.

Long answer questions (4 marks)

Q1. Explain any four barriers to effective communication and how to overcome them.

  • Physical – noise, distance, poor network; overcome by choosing a quiet place and a reliable channel.
  • Linguistic – unfamiliar language or jargon; use simple words and explain terms.
  • Interpersonal/emotional – anger, fear, mistrust; stay calm, listen actively and build trust.
  • Cultural – different customs and gestures; respect differences and learn the local customs.

Q2. Explain the 7 Cs of effective communication with an example of a clear and concise message.

The 7 Cs are Clear, Concise, Concrete, Correct, Coherent, Complete and Courteous (see the table above). Example: instead of “Maybe we can meet sometime next week about the thing”, write “Please meet me in Lab 2 on Monday at 11 am to finalise the science project.” It is clear (purpose), concise, concrete (place and time), complete and courteous (“please”).

Part A – Employability Skills, Unit 1. यह unit Class IX को आगे बढ़ाती है: communication के तरीके, communication cycle, feedback, barriers, 7 Cs, और बुनियादी writing skills (वाक्य के भाग, parts of speech, वाक्य के प्रकार)।

Communication क्या है?

Communication दो या अधिक लोगों के बीच जानकारी, विचार और भावनाएँ साझा करने की प्रक्रिया है, ताकि receiver संदेश को वैसे ही समझे जैसा sender चाहता है।

Communication

  4. Receiver feedback

CorrectGrammar, spelling या तथ्य की कोई ग़लती नहीं
Coherentविचार तार्किक और जुड़े हुए
CompleteReceiver को जो चाहिए वह सारी जानकारी
Courteousविनम्र, सम्मानजनक और मैत्रीपूर्ण
याद रखने की trick: “3 C + 3 Co + Courteous” → Clear, Concise, Concrete; Correct, Coherent, Complete; Courteous।

Writing skills

वाक्य शब्दों का समूह है जो पूरा विचार व्यक्त करता है। इसके दो भाग होते हैं: subject (वाक्य किसके बारे में है) और predicate (subject क्या करता है या क्या है)। “Riya | completed the project” में Riya subject है और completed the project predicate; the project object है।

Part of speechउपयोगउदाहरण
Nounव्यक्ति, जगह, वस्तु या विचार का नामDelhi, laptop, honesty
PronounNoun की जगहhe, she, it, they
Verbक्रिया या अवस्थाrun, is, write
AdjectiveNoun की विशेषताfast computer, tall boy
AdverbVerb, adjective या adverb की विशेषताspeaks clearly, very fast
Prepositionसंबंध/स्थितिin, on, under, between
Conjunctionशब्द या वाक्य जोड़ता हैand, but, because
Interjectionअचानक भावWow! Oh! Hurray!
वाक्य का प्रकारउद्देश्यउदाहरण
Declarative (statement)जानकारी देता है; full stop से ख़त्मThe exam starts at 10 am.
Interrogative (प्रश्न)कुछ पूछता है; ? से ख़त्मHave you saved the file?
Imperative (आदेश/अनुरोध)आदेश या अनुरोधPlease close the door.
Exclamatoryतीव्र भाव; ! से ख़त्मWhat a great result!

Active voice: subject काम करता है – “The teacher checked the copies.” Passive voice: काम subject पर होता है – “The copies were checked by the teacher.” Active voice आम तौर पर ज़्यादा साफ़ और छोटी होती है।
