Data, Software & Operating System

Data and information

Data means raw facts — numbers, words, images, sounds — that have no meaning on their own. When data is processed and organised so that it becomes useful, it is called information.

Data78, 91, 65, 88, 70Processingadd, average, compareInformationClass average = 78.4; top = 91
Raw marks become useful information after processing

More examples: temperatures recorded every hour (data) → "today was the hottest day of the month" (information). Items scanned at a shop (data) → total bill and "you saved ₹120" (information).

Structured, semi-structured and unstructured data

TypeMeaningExamples
StructuredFixed rows and columns, easy to searchAttendance register, Excel sheet, bank statement, database table
Semi-structuredHas tags or keys but not a fixed tableEmail (to, subject, body), JSON, XML, HTML page
UnstructuredNo predefined formatPhotos, videos, voice notes, WhatsApp chats, social-media posts
Structured data – a table

Structured data fits neatly into rows and columns

What is software?

Software is a set of programs, data and documentation that tells the hardware what to do. Software is broadly divided into three groups.

⚙️
System softwareRuns and manages the computer itself: OS, device drivers, utilities.
🛠️
Programming toolsHelp programmers write code: translators, editors, IDEs.
📱
Application softwareDoes a task for the user: MS Word, Chrome, Tally, games.
Three kinds of software

System software

  • Operating system — Windows, Linux, macOS, Android, iOS.
  • Device drivers — small programs that let the OS talk to a particular device, e.g. a printer driver. Without the right driver, the printer does not work.
  • System utilities — maintenance tools: antivirus, disk cleanup, disk defragmenter, backup, file compression (ZIP).

Language translators

A CPU only understands machine language (0s and 1s). Programmers write in high-level languages such as Python, C++ or Java because they are close to English. A translator converts this source code into machine code (object code).

High-level languageprint("Hello") · easy for humans · Python, Java, C++Assembly languageMOV AX, 5 · short codes (mnemonics)Machine language10110000 00000101 · only 0s and 1s · understood by CPU
Levels of programming languages

Compiler

  • Translates the whole program at once
  • Creates an executable file (.exe)
  • Shows all errors after compiling
  • Program runs fast later
  • C, C++

Interpreter

  • Translates and runs line by line
  • No separate executable file
  • Stops at the first error
  • Slower, but easy to test
  • Python, JavaScript
Compiler vs interpreter

An assembler converts assembly language into machine language.

Application software

TypeMeaningExamples
General purposeUseful for many peopleWord processor, spreadsheet, browser, photo editor, media player
Customised (tailor-made)Made for one organisation’s needSchool fee management, hospital billing, railway reservation

Proprietary, freeware and open source

💰
ProprietaryOwned by a company; must buy a licence; source code hidden. Example: MS Office, Windows.
🎁
FreewareFree to use but source code is not shared. Example: Skype, Adobe Reader.
🔓
Open source (FOSS)Free to use, source code available to study, change and share. Example: Linux, Python, LibreOffice, Firefox.
Software by licence

Operating system and its functions

An operating system (OS) is the most important system software. It sits between the user and the hardware, manages all resources and gives a platform for other programs.

UseryouApplication softwareChrome, Python IDLE, gamesOperating systemWindows / Linux / AndroidHardwareCPU, RAM, disk, keyboard, screen
The OS is the middle layer between programs and hardware
FunctionWhat the OS doesExample
Process managementStarts, schedules and stops programs; shares CPU timeMusic plays while you type
Memory managementGives RAM to each program and takes it backClosing an app frees RAM
File managementCreates folders, names, saves, deletes filesFile Explorer
Device managementControls devices through driversPen drive detected automatically
SecurityLogin, passwords, permissionsPhone lock, app permissions
User interfaceLets the user give commandsDesktop, icons, touch

User interfaces

InterfaceHow you use itExample
Command-line (CLI)Type commandsCommand Prompt, Linux terminal
Graphical (GUI)Click icons, windows, menusWindows desktop
TouchTap, swipe, pinchAndroid, iOS
VoiceSpeakAlexa, Google Assistant, Siri
GestureMove hands or bodyGaming consoles, smart TVs

Summary & practice

  • Data = raw facts; information = processed, meaningful data.
  • Software: system (OS, drivers, utilities), programming tools, application.
  • Compiler translates all at once; interpreter line by line (Python).
  • OS manages processes, memory, files, devices, security and the UI.

Answers: (a) system utility (b) general-purpose application (c) system software – driver (d) programming tool / translator (e) customised application.

Frequently Asked Questions

What is the difference between a compiler and an interpreter?
A compiler translates the whole program into machine code first and then it runs; errors are listed together. An interpreter translates and runs one line at a time and stops at the first error. Python uses an interpreter.
Is an operating system system software or application software?
System software. It manages the hardware and provides a platform on which application software such as browsers and games run.
Is Linux open source?
Yes. Linux source code is publicly available; anyone can study, change and share it under its licence. Ubuntu and Android are built on the Linux kernel.
